Users may experience downtime in eDisclose on 9/13 and 9/14 to allow for an initial data sync with UFIRST and myIRB.
Key Points regarding COI Changes for Researchers (Key Personnel in UFIRST and all study staff in myIRB):
- UF is implementing a new electronic COI disclosure system, eDisclose.
- If you do not have a certified Disclosure Profile in eDisclose by 9/12/25, your research applications (UFIRST and myIRB) will be held until you certify. If needed, log into eDisclose to complete this action using the instructions here: Navigating eDisclose (Discloser).
- Even if you have nothing to disclose, you still must certify your Disclosure Profile in eDisclose.
- Detailed information regarding the integration of systems is available here: eDisclose, UFIRST and myIRB Integrations.
- FAQs and other resources are available on coi.ufl.edu
More information:
UF Research Integrity, Security and Compliance (RISC) is now administering a centralized COI Program at UF. A new UF Conflicts of Commitment and Conflicts of Interest Policy * and enhanced COI system, eDisclose, are being implemented. The phased rollout of eDisclose beyond researchers will continue throughout the fall semester.
eDisclose includes two modules — Pre Approval Requests and Disclosure Profiles. The new UF COI and COC Policy* requires Pre Approval of a limited set of activities and then disclosure of actual interests on the Disclosure Profile.
Starting 9/13/25, you will no longer need to complete an SFI certification in UFIRST at proposal/agreement/award or answer COI questions in the myIRB agreement to participate survey or use Addendum L. Instead, a certified Disclosure Profile in the new COI system, eDisclose, will be recognized in UFIRST and myIRB automatically.
The COI Program website (coi.ufl.edu) provides the following resources: one-page Guide: What and When to Disclose, FAQs (with distinctions between requirements for in-unit and out-of-unit faculty while bargaining is underway), Researcher FAQs, and guides for supervisors on how to conduct reviews for Annual Certifications and Pre Approval Requests.
*Until ongoing bargaining is completed, in-unit faculty are subject to Article 26 and must continue to seek prior approval for Outside Activities via UFOLIO. Researchers, regardless of unit status, must complete and certify a Disclosure Profile no later than 9/12/25.
